The challenge

A US-based entrepreneur dedicated an excessive amount of hours each month to keep up with their private investment portfolio. They spent time chasing emails, logging into various portals, and reconciling transactions. With 38 syndications and 21 funds to track, all while running their own company, they found managing their investments unsustainable.

They managed the process manually. That meant they logged into portals monthly and searched emails for “capital call” or “distribution.” They kept an Excel sheet with 25 tabs and updated it sporadically. Then, they exchanged endless back-and-forths with their CPA for tax docs. They set calendar reminders based on vague fund schedules, but half the time, they missed something buried in an email thread.

The process barely worked. Not only did they lose weekends, but things became critical after they missed capital calls, incurring $45,000 in penalties. They urgently needed an automated solution to handle the administrative burden without introducing further complexity.

Selection criteria

In searching for a solution, one thing was clear: it had to be dead simple to set up. Operating solo meant that the last thing they needed was long onboarding calls or IT involvement. Beyond asset management, automation was a high priority. In teams of features, the solution required capacity to handle illiquid assets like syndications and LPs, not just stocks. Additionally, it required robust automation for emails and portals, accurate data extraction from documents, and secure bank connections.

Security and access were also essential requirements: the platform had to connect securely to banks and brokerages and support CPA access without necessitating extra workflows. Finally, the solution was expected to deliver strong value for its cost, measured by the time saved and mistakes avoided.

Why Vyzer?

Prior to implementing Vyzer, the client had checked out a couple of budgeting apps and net worth trackers, such as Kubera, but they werenโ€™t robust enough. Then they moved up to reporting software like Addepar, but they felt it was too geared toward family offices with teams or liquid assets. Theyโ€™d spend maybe an hour on each demo before realising they wouldn’t touch their 15 portals or parse old emails without a consultant.

When they came across Vyzer, things clicked instantly.ย  It felt as if the platform was built for exactly their mess, for solo operators drowning in their illiquid assets. With Vyzerโ€™s integration with Plaid, they were able to complete bank and brokerage linking in 10 minutes. The whole setup, which took slightly over a week and required minimal hands-on time.

For instance, they were able to import 18 months of historical emails in a single batch. Then, they uploaded about 250 PDFs, with 90% accuracy extracted on the first pass. Portal automation was enabled by setting up VIP Sync across all their main investment platforms. The entire process required no training sessions, IT involvement, or support tickets.

The impact

Aside from minor challenges in uploading older PDFs, the impact that Vyzer had was like going from a flip phone to a smartphone. The time spent on administration dropped to a maximum of one hour per month. The platform automatically flags capital calls early enough that they’re always on the radar, no misses. And wire transactions auto-match 90% of the time.

Since implementation, Vyzer has identified a few GP email errors in distributions, uncovering fee miscalculations that resulted in a $120k claw-back. In addition, the platform streamlined CPA access and enhanced tax efficiency. The CPA can now log in directly, eliminating the endless back-and-forth emails, PDFs, and spreadsheets. The reduced labour directly drops the annual tax bill from $38k to $12k.

Finally, Vyzer improved cashflow forecasting accuracy to within a tight 5โ€“10% range. That was a vast improvement compared to the previous six-figure variances in the past. The client enabled much better liquidity planning.

โ€œThis isn’t flashy tech, but it just works. If you’re in syndications or funds and still Excel-ing it, you’re leaving hours on the table. Vyzer turned that into actual free time. No regrets.โ€ -HNW investor.

Less admin, more strategy

For this HNW investor, Vyzer provided significant value beyond mere cost savings. Crucially, it restored the investor’s time by transforming a previously chaotic, manual process into a reliable, automated system that “just works.” Vyzer is especially effective for individual investors managing complex private-market portfolios without the dedicated support of a full family office, as it delivers the automation and reliability typically found in institutional platforms, making them accessible to the individual operator.
